Contractor Success Manager
The Contractor Success Manager owns travel and logistics while serving as a cross-functional liaison to ensure smooth handoffs, accurate payroll administration, and an exceptional contractor experience from contract signing through the first shift.
Job Summary
Locum tenens providers operate under a compressed timeline, often less than 60 days, between signing their contract and starting their first shift. During that time, several moving pieces—including recruiting follow-through, payroll setup, and travel logistics—are happening at the same time and require close coordination to avoid gaps or delays.
The Contractor Success Manager owns the travel and logistics function and provides cross-functional
liaison support across the various processes that move a contractor from a signed contract to their first shift. This role ensures important details aren’t missed, handoffs remain clean, and contractors have a professional, well-managed experience.
This position requires strong ownership of travel and logistics, excellent coordination across teams, and accountability for payroll-related administration.
Essential Job Functions
Cross-Functional Liaison & Launch Support
• Provide operational support and liaison across concurrent workstreams as contractors move from signed contract toward first shift.
• Maintain visibility into overall progress and surface gaps early so recruiting, payroll, and travel activities remain aligned.
• Create and maintain contractor profiles in the RSA App and establish records in the Andavo travel portal.
• Facilitate clear communication between teams to ensure requirements are completed and nothing is dropped.
• Drive timely completion of logistics so signed contractors successfully reach their first shift.
Scheduling Coordination
• Confirm and update shifts in the VMS platform to maintain accurate scheduling records.
• Use confirmed shifts as the operational trigger to initiate and execute travel arrangements.
• Ensure schedule accuracy so travel, housing, and related logistics are timed correctly against the assignment.
Travel & Housing Operations
• Own end-to-end coordination of RSA-paid travel and lodging in partnership with Christopherson Travel.
• Execute bookings directly in the Andavo (Concur) platform as required.
• Manage flights, ground transportation, housing, and itinerary changes to a high standard of accuracy and responsiveness.
• Build and expand preferred corporate relationships with housing providers, airlines, and rental car companies to improve cost, availability, and contractor experience.
• Ensure all travel arrangements are executed professionally and support a strong first impression of RSA.
Timekeeping, Payroll & Expense Administration
• Educate contractors on timekeeping processes and expectations prior to assignment start.
• Educate contractors on reimbursement tools and processes required for assignment-including JotForm distribution and QuickTime link.
• Ensure required payroll documentation is submitted accurately and on schedule.
• Audit and approve expense reimbursement requests with accuracy and efficiency.
• Enter time into the timekeeping system when necessary to protect payroll integrity and timely payment.
• Resolve payroll and expense issues efficiently so they do not delay payment or create friction for the contractor.
Operational Excellence
• Anticipate and address common friction points related to travel preferences, logistics, system access, and first-day readiness.
• Maintain clear, professional communication with contractors during the logistics phase.
• Serve as the accountable owner for travel and related operational needs once contractors enter this stage of the process.
Ideal Candidate
The ideal candidate has strong organizational discipline, composure under time pressure, and a consistent commitment to professional service standards. Comfort operating across multiple systems (RSA App, Andavo/Concur, VMS, timekeeping platforms) is required, along with the ability to communicate clearly and professionally with independent contractors and internal teams.
Prior experience in locum tenens, healthcare staffing, corporate travel management, high-volume operations, or customer success within a professional services environment is strongly preferred. Experience with timekeeping, expense processes, or VMS platforms is a plus.
